Executive Administrative Assistant
Perform administrative and support functions for Vice President and General Manager.
Act as liaison with customers and top Tenneco Automotive personnel (domestically and internationally) for the Vice President and General Manager
Provide administrative support to VPGM to include the following tasks:
Track progress against key deadlines and projects
Initiate, compile, type and distribute memos and other forms of communication.
Prepare and submit travel and entertainment expense reports for Directors and staff.
Coordinate meetings: invite attendees, conference room scheduling, conference call setup, conference room setup and cleanup, coordinating catering activities, publish / maintain meeting minutes and action registers for the department.
Initiate employee system entitlements and IT procurements for the department.
Make travel arrangements for the department and manage the spending requests related to these travel requests.
Coordinate accommodations and travel for internal and external guests as required. Maintain calendar of visits and send out notices of these activities to the department.
Manage and coordinate the ProCard usage for procurement requests that the department requires, and prepare monthly reports for approval and audit.
Prepare customer and internal presentations and maintain master file of presentations and templates.
Lead in the compilation and submission of weekly and monthly reports. Including but not limited to; the quarterly staff report, department budget charts, and updates to financial reports. Maintain master files that include all of the reports.
Create and maintain the organizational charts as required.
Enter vendor request information provided by staff into database when appropriate to generate new vendor number.
Convert purchase requisitions to purchase orders and distribute appropriately.
Access, compile, download and print various reports in SAP.
Coordinate management reviews and establish calendar for the quarterly reviews of all staff and programs.
Coordinate with accounts payable to authorize payment of purchase orders as approved by staff.
Coordinate shred bin and mylar shredding for Grass Lake facility.
Establish relationships with administrative assistants in other locations that the department interacts with including but not limited to customers and manufacturing sites, and provide back up during vacations.
Miscellaneous administrative duties that will include support of other staff members and assistants as needed, including global interaction.
Associates degree in a business related field, or equivalent experience.
Previous administrative experience is a plus
Excellent PC skills: word processing/spreadsheet/presentation/database (preferred Microsoft Office; Word, PowerPoint and Excel) or equivalent and SAP would be a plus.
Excellent organizational and communication skills.
