Grant Thornton LLP Executive Assistant in Austin, Texas

Grant Thornton is seeking an Executive Assistant/Office Manager to join its Public Sector practice and take an active role in supporting its leadership team out of the Austin, TX office. The Executive Assistant/Office Manager provides administrative support to partners and directors and will also act as a back-up for other designated EAs upon their absence. The position will provide overview of the facilities and facility related maintenance.

ESSENTIAL DUTIES: * Interact with external clients, and answer and respond to phone calls received by partners and directors * Provide general administrative support (type correspondence, answer telephone, schedule appointments, open mail, copying) for partner and directors * Use Microsoft Office extensively to prepare professional documents including letters, memos, proposals, presentations, spreadsheets and billing statements * Plan and set up meetings and teleconferences both internally and externally * Responsible for all asset management including monitoring lease renewals of all equipment. * Plan and coordinate special events * Meet with all vendors for facilities and coordinate all office maintenance * Order office supplies * Interact with corporate travel group to coordinate travel arrangements and prepare itineraries * Maintain electronic calendars for partner and directors * Understand the firm’s service lines, industries and client engagement structure in order to work effectively with all levels of employees and clients * Communicate effectively and professionally with all levels of client personnel and client service personnel * Understand and anticipate customer service needs and administrative needs and delivers high quality * service and results * Assist in the coordination of other department activities and special projects as needed

  • High school degree or equivalent required.
  • Bachelors Degree Preferred.
  • Five to seven years of administrative support experience in a corporate or professional services environment
  • Advanced skill level with Microsoft applications including Outlook, Word, Excel, and PowerPoint
  • Must have experience supporting multiple executives, partners, and managers
  • Ability to prioritize multiple assignments
  • Ability to take initiative, self- directed and results-oriented
  • Superb attention to detail and organizational skills
  • Ability to work in a fast paced, quickly changing environment
  • Ability to work with sensitive information and maintain privacy and confidentiality of all documents
  • Ability to sit in an office environment for long periods of time
  • Ability to communicate clearly in writing and verbally
  • Ability to obtain and maintain firm independence and abide by firm ethics requirements
